Collection of personal data
The Döhle Group processes personal data about contacts (potential and existing clients, professional advisors, service providers and intermediaries) using a customer relationship management system (“Döhle CRM”).
The personal data collected about contacts by us will include name, employer name, contact title, phone, email and other business contact details.
Use of personal data
Administering, managing and developing our businesses and services
We may process personal data in order to run our business, including:
- managing our relationship with contacts;
- developing our businesses and services (such as identifying client needs and improvements in service delivery and learning more about a client, relationship opportunity we have an interest in); and
- analysing and evaluating the strength of interactions between us and a contact. The Döhle CRM uses an algorithm to help with this analysis and the ranking is primarily based on interaction frequency, duration and response times.

This data is held and processed by to ensure we have sufficient relationships and suppliers available to assist us and our clients.
When and how we share personal data and who we share it with
The Döhle CRM is provided by Microsoft Dynamics and is hosted on Microsoft’s European server. The information and personal data stored on the Döhle CRM and is only accessed on a need to know basis by the relevant staff within the Döhle Group.

Sale of data
The Döhle Group will not sell or otherwise release personal data contained in the Döhle CRM to third parties for the purpose of allowing them to market their products and services to you.
The Döhle Group does not undertake any form of direct marketing and any correspondence between you and us will be in relation to the services provided by you or us. If this changes in the future, we will request your consent before adding you to any direct mailing lists. As part of this consent you would have the right to unsubscribe at any time and the appropriate facilities to unsubscribe will be included on all marketing communication.
We do reserve the right to contact you directly via mass communication in the event of an emergency situation or crisis.
Any personal data collected and stored in the Döhle CRM will be retained by us for as long as necessary to fulfil the purposes that we originally collected it for.
Personal data may be held for longer periods where extended retention periods are required by law or regulation and in order to establish, exercise or defend our legal rights.
